Enhanced controls and visibility
With the excitement for future innovations and the promise of AI, we are also investing in and enhancing our administration features to provide more control, simplify governance and bring more visibility to billing. These updates reflect momentum for the Smartsheet user model pricing which has seen 65% of customers already transitioned to the new model. Based directly on your feedback, we are delivering new capabilities to give our administrators the power and clarity they need to effectively manage their Smartsheet investments.
Many of these capabilities have been released over the past few weeks and are available today, and I’ll share details on a few important ones coming soon.
Today, you’ll notice a redesigned modern seat management dashboard that gives you complete visibility into seat usage and billing schedules. Customers can see exactly who’s using the product, and make informed decisions about your licensing requirements. This new dashboard is complemented by several key updates to give you more clarity and control.

To help you focus on who truly needs a Member seat, we recently updated the definition of a Provisional Member to individuals who have taken a proactive action, such as commented, edited, or created an asset in the last 90 days. A new billing column in the admin experience makes it easy to act on this information by letting you quickly see who’s converting to a paid Member this billing cycle. A new set type report provides you with a single, consolidated view of all users with their seat types. Once you’ve identified users to review, you can manage them more efficiently, as we have increased the capacity for bulk seat changes by 10x - to 200 users at a time, up from 20 users.
We’ve also improved the experience for downgraded users to ensure team continuity. You can now retain group access for these users to prevent workflow disruptions. If you change a downgraded user to a Member again in the future, their original permissions are automatically restored. To further reduce your administrative burden, users will be converted to a Provisional Member only once to eliminate repetitive downgrades.
For our largest customers, we have recently released the capability to automate seat management by integrating directly with leading ITSM systems like ServiceNow and Atlassian with our new automated seat management webhooks and APIs.
A new era of admin controls
In the next few months, we will continue to add more capabilities to help you better manage your Smartsheet environments. We will have a new admin approval setting that administrators can select to automatically downgrade Provisional Members. To streamline new user seat requests, approvals and track demand, we plan to release a customizable in-product seat request flow. We also plan to consolidate user management into a single experience accessible from the Seat Type and True-up page.
