HSO is built to make large scale Smartsheet data movement simple and reliable. Administrators can transfer entire workspaces in bulk across Smartsheet regions, accounts, and external services, while retaining the original folder hierarchies that are automatically mirrored in target environments. Every object processed is accompanied by recorded metadata, ensuring source integrity throughout the migration. HSO also responds to enterprise or domain events—such as employee transitions or major project milestones—so data movement can align seamlessly with organizational needs. While it does not establish direct connections with other systems, HSO transforms and stages data to streamline onloading into other platforms. Its intuitive graphical interface makes offloading and onloading straightforward, and although optimized for on demand, real time transfers, all functions can be automated for scheduled jobs.

The HSO console serves as the central hub for configuring your solution and selecting which users, workspaces, or assets to offload. Once data has been securely copied and saved outside of Smartsheet, the console allows you to define exactly where that exported data should be onloaded. It can be returned to the same Smartsheet account or region, moved into a different account or region, or directed to another platform entirely. With the Onloader, exported data can also be repurposed beyond Smartsheet, making it easy to ramp information into databases or transform it into presentations in Microsoft PowerPoint. This seamless process ensures that your data remains flexible, accessible, and ready to support a wide range of organizational needs.
HSO is installed directly on the customer’s premises, remaining fully under the control and security of internal IT staff and infrastructure. Once configured, it can offload Smartsheet users, workspaces, sheets, attachments, and reports, saving them securely to a designated file storage location on the customer’s server. From there, the HSO Onloader makes it simple to bring exported data back into the same Smartsheet account, into another account, or across different Smartsheet regions. Beyond Smartsheet, the Onloader extends flexibility by enabling data to be transferred into other platforms or staged for integration with databases and applications such as Microsoft PowerPoint. This ensures that organizations can not only safeguard their Smartsheet assets but also repurpose and leverage them across a wider ecosystem with ease and confidence.
