How to Make an Attendance Spreadsheet in Excel with a Template

To make an attendance spreadsheet in Excel, start with a professionally designed template. Download a ready-to-use monthly attendance template, personalize the header and participant list, and begin tracking daily attendance for accurate records.

Use the following step-by-step instructions to create a monthly attendance tracker in Excel using a template.

  1. Define the Event or Meeting
Start by identifying what the spreadsheet will track. Is it a recurring team meeting, a one-month training program, or a rotating classroom session? Write down the name of the event, along with the location, organizer, and time frame.
  2. Decide Which Attendance Details to Track
Make a quick list of the participant details you want to collect, such as name, role, and contact info. Think about whether you’ll include email or phone numbers and whether you’ll track every calendar day or just weekdays.
  3. Download the Monthly Attendance Spreadsheet Template:

  4. Choose a Tracking Method Decide how you want to mark attendance. The most common approach uses a simple key: P = Present, U = Unexcused, E = Excused, T = Tardy

Keep this legend nearby, as it will be part of your spreadsheet.

  5. List Participants and Roles Pull together a rough list of participants. This could come from an RSVP list, a class roster, or the organization’s directory. Include names and departments or roles, and contact info if desired.
  6. Organize Your Notes
Collect your event info, tracking decisions, and participant list into one working document, spreadsheet tab, or notebook. Getting everything in one place now makes the next steps faster.
  7. Fill Out the Header Section
At the top of the spreadsheet, fill out the Event or Meeting Name, Organizer or Team Name, Date, and Location fields. You can also include a brief summary in the Session, Description or Notes fields if needed.

  9. Track Daily Attendance
Use the attendance key (P, U, E, T) to mark each participant's status for each day of the month (1–31). Leave cells blank for non-applicable dates.
