Ayala Land, founded in 1988, is one of the Philippines’ biggest real estate developers. It plans, builds, and manages large-scale communities that combine housing, shopping, offices, hotels, and green spaces. By weaving these elements together, the company creates self-contained neighbourhoods designed to be sustainable and to grow in value over time. “For decades, Ayala Land has shaped the Philippine Skyline with timeless and sustainable developments that embody elegance, responsibility and vision,” shares Nikki Ranay, the IT Head of Ayala Property Management Corporation.
Managing hundreds of properties and multiple departments made it almost impossible for Ayala Property Management Corporation to give every stakeholder the right level of visibility without oversharing sensitive data. Manual workarounds and ad-hoc reporting weren’t cutting it anymore, and the team needed a secure, enterprise-grade platform to share updates from both the admin offices and headquarters.
“We needed to find a way to consolidate information from the units and the properties that we are managing, and disseminate this information to their respective admins, while being mindful of the information that we share with them,” adds Ranay.
Balancing visibility and security
Ayala Land turned to Smartsheet’s Intelligent Work Management Platform as a solution. The company migrated its financial data into Smartsheet and set up different views for departments like human resources and operations. “Dynamic View allows users to view only the information that their roles allow them to,” explains Ranay.
The team is also using Smartsheet as a vendor-facing platform. “We allow our vendors and clients to log in their concerns and billing through the platform,” she adds. This creates one secure place to handle updates and interactions, replacing scattered emails and spreadsheets and empowering the company to manage work intelligently.
The Ayala Land team picked Smartsheet up quickly. “It’s quite easy for the team to adapt, because Smartsheet is low code. It’s like building a macro, but in a lesser technical manner,” shares Ranay.
Saving time while protecting data

Ayala Land is extending this setup to HR and other administrative workflows. IT builds the core templates, and departments adapt them to their specific needs. This approach moves Smartsheet governance beyond IT, allowing each unit to manage its own solutions securely.
