The way we work has changed, but the challenges we’ve faced haven’t gone away — they’ve just evolved. Teams are managing increasingly complex workflows, with more tasks, dependencies, and content to coordinate, yet many are still using tools that weren’t built for today’s fast-paced, distributed work.

What does that look like in practice? For collaborators, it’s the frustration of tracking down scattered information spread across a myriad of tools. For work managers, it’s the struggle to get a clear picture of project progress without endless check-ins. For leaders and executives, it’s lacking real-time, accurate insights that align people, their skills, processes, and technology to inform effective strategy or resourcing decisions.

Work dynamics are shifting, and so are the demands on teams. They require solutions that adapt to diverse work styles and project types, integrate with existing systems to maximize investments, and provide enterprise-grade security and scalability.

That’s why we continue to evolve Smartsheet into a platform that doesn’t just respond to needs, but anticipates them. As the leader in work management, we’re making it easier for teams to move faster, stay aligned, and focus on what really matters. We do this with an intuitive interface, powerful automation, and the flexibility to support different types of work and teams — all while keeping your most important assets and data safe.

Taking the work out of work management with AI at your side

AI is also transforming work, driving productivity and efficiency across teams. Our 2025 pulse of marketing report found that marketing and creative professionals use AI to support their efforts in many different ways, including using AI for analytics and reporting (61%), automation or process optimization (53%), generating content (50%), content optimizations (50%), as well as strategy and planning (41%).

AI is already embedded into our platform, helping you visualize your data, easily generate complex formulas, save time with summarization and text generation, and get on-the-spot answers to your questions. With new AI-driven automations and workflows for setting up your workspace coming this year, Smartsheet supercharges your team so you can tackle any work management problem — without needing to be an expert. Instead of getting bogged down in repetitive, manual, or complex tasks, you can drive impact and make faster decisions with greater accuracy. From effortlessly tailoring a workspace to your needs to automating and optimizing your workflows, AI in Smartsheet is designed to empower you to work more efficiently and strategically.

Our AI tools also give you deeper insights into your data to democratize data analysis, spotting trends and anomalies proactively. The analyze data feature automatically summarizes key information and suggests visualizations to help you — or stakeholders — understand your data faster. AI-powered chart creation builds and updates dashboards in real-time, so stakeholders always have the latest insights. Simply ask Smartsheet to generate a chart and it’s done — no complex workflows or manual updates required. This makes data visualization clearer and faster, turning complex data into easy-to-understand charts and graphs, while speeding up the entire analysis process.

Smartsheet analyze data interface with a purple prompt bubble stating "Create a bar chart showing the at risk tasks per Design Status."A smaller chart preview is visible below, and a menu on the right reads "analyze data."

To make data even more accessible, we've also partnered with Amazon Web Services (AWS) to bring even more intelligence to your fingertips. With the new connector to Amazon Q Business, AWS's generative AI-powered assistant, you can ask questions for instant insights from your Smartsheet data. That’s all while preserving user access permissions. Whether it’s tracking project statuses, task assignments, or deadlines, this integration makes it easier to stay on top of your work.

Collaboration in context: Keep content, conversations, and work in one place

Work management isn’t solely about tracking tasks. It’s about keeping people and teams aligned to the right work, especially when it changes. When files are buried in email threads or feedback gets lost in endless chats, it’s easy to lose track of the latest version, miss critical feedback, or delay approvals, ultimately negatively impacting productivity.

With Smartsheet, your conversations; feedback; and decisions are in context, files are centralized, and work keeps moving forward.

The upcoming file library simplifies project file management, making it easy to share files and set the right permissions. Version control and approvals are built in, so teams always have the latest information. And with collaborative review and feedback happening in context, everyone stays aligned without the back and forth.

To further streamline teamwork, we’re introducing workspace collections and conversation filters that can be customized and sorted, helping teams prioritize resources and quickly find key discussions. And with the platform’s support for asynchronous collaboration, distributed teams can stay connected and productive — no matter where or when they work.

A project dashboard with a dark background shows performance metrics including sales, budget, percentage, and a count. A bar chart illustrates task statistics over time, and sections highlight upcoming projects and on-track progress. Below, a section titled "Q4 Products" displays images of outdoor equipment. A dropdown menu is open, indicating access level options for the dashboard.

Enterprise-grade connections: Smooth integrations, smarter insights

In today’s globally connected work environment, organizations tackle complex, large-scale projects while facing increasing security threats, compliance mandates, and operational challenges. Smartsheet is built for enterprise-grade requirements — secure, reliable, and designed to handle the demands of sophisticated projects without sacrificing performance. With trusted partnerships and enterprise-grade architecture, IT teams can keep systems connected, operations running smoothly, and data protected without losing visibility or control. Whether you’re managing millions of items, thousands of large-scale projects across portfolios, or coordinating across thousands of team members, you won’t outgrow Smartsheet.

A key component of being truly enterprise-grade is having smooth integrations. Disconnected systems slow teams down, creating inefficiencies as data gets trapped in separate platforms — whether it’s a CRM, HR system, or finance tool. Teams waste hours manually pulling reports, updating spreadsheets, and chasing down information. In fact, our 2025 pulse of marketing report found that 31% report tedious manual processes are required to collect data, 30% say that data resides across multiple systems that are poorly integrated, and 28% say they lack access to real-time data. This hinders real-time visibility and misaligns teams.

With Smartsheet, integrations don’t just connect systems — they enhance how teams work. By automating workflows and breaking down data silos, Smartsheet helps teams spend less time wrangling data and more time making impactful decisions. Our platform integrates with the tools and data sources you already rely on, unlocking siloed information from CRMs, HCMs, ERPs, and more. These integrations provide valuable visibility, turning Smartsheet into a central hub for all your operations. For example, integrating your CRM with Smartsheet can automate project creation based on closed deals, ensuring smooth transitions and improved team alignment.

As Smartsheet continues to streamline data connections, we're also making it easier to connect data within Smartsheet itself with the upcoming data links feature. This update will let you reference information across sheets without the hassle of duplication or the need to write complex formulas. On top of that, column links will simplify linking and referencing columns across Smartsheet, reducing duplication and increasing accuracy across your solution. And soon, advanced column link options will give you more control, like filtering synced records and deleting linked records that no longer match your filter criteria.

In this showcase of the Smartsheet data links feature, a task management sheet titled 'Linden Ave Task,' lists tasks, statuses, and contractor details. On the right, a panel labeled 'Link data within Smartsheet' allows users to map columns between the 'Project Contractors' sheet and the current sheet using 'Contractor ID' as the unique identifier. The user selects source and target columns, ensuring data stays in sync. The cursor moves to interact with dropdown menus before clicking the 'Link' button.

And for those of you working with data sources outside of Smartsheet, our new integrations panel in table view brings it all together. It streamlines connections to third-party tools via Data Shuttle, letting you manage imports and exports without leaving Smartsheet.
