ENGAGE Seattle 2026 Terms and Conditions

Your Privacy

All information you provide, or that we collect about you, in connection with the Smartsheet ENGAGE 2026 Conference (the “Conference”) will be saved, stored, processed, transmitted and/or deleted in accordance with these Terms and Conditions in addition to the Smartsheet Privacy Notice (available at https://www.smartsheet.com/legal/privacy). In the event of any conflict between these Terms and Conditions and the Privacy Notice with respect to your attendance or participation in the Conference, these Terms and Conditions will control. In the event of any conflict between these Terms and Conditions and the Privacy Notice with respect to your right to data privacy, the Privacy Notice will control.

Consent to Being Contacted

By registering for the Conference and by supplying your contact information, you agree to be contacted by Smartsheet, its affiliates, partners, and its vendors via phone, email, SMS/text message, or email with information or updates about the event or in the event of an emergency. If you have given additional consent on the registration page for marketing communications, you agree to be contacted by Smartsheet, its affiliates, partners, and its vendors via phone, email, SMS/text message, or email with personalized communications on their products and/or services. You may revoke this marketing consent at any time by using the unsubscribe mechanism in any marketing message or by contacting us as described in the Privacy Notice; revocation is prospective only and will not affect communications already in transit. Review our Privacy Notice for more details. Opting out of marketing will not affect transactional or event-related communications necessary to administer your registration and attendance.

Valid Email Required

You will be asked to provide a valid company email address in order to register for the Conference. If you do not provide a valid company email address, your Conference registration may not be processed, and Smartsheet may decline or cancel the registration.

Badges / Photo ID

When you check in at the Conference, we will verify your identification prior to assigning you your badge. Typical government-issued forms of identification will be accepted – e.g., driver’s licenses or passports. Note that you will need a badge to enter the Conference. Badges and the Conference venue may use technologies (including RFID, NFC, scanning, or similar tracking technologies) that help us administer the Conference, provide a better attendee experience, and measure and track your attendance, movement, and participation. You consent to the collection and use of this information for these purposes and as otherwise described in these Terms and Conditions and the Privacy Notice.

Sharing Registration Information

You consent to the sharing of your name, company, title, and email address with Conference sponsors, exhibitors, and partners if you elect to swipe, scan, or otherwise present your badge at the applicable sponsor’s or exhibitor’s booth or session. Once shared, such information will be subject to the receiving party’s own privacy practices, and Smartsheet will not be responsible for the receiving party’s use of that information.

Schedule Changes

Smartsheet reserves the right to modify any aspect of the Conference, including its program, speakers, content, format, venue, and dates, as we see fit, and to make the Conference available in a virtual or hybrid format. We will make commercially reasonable efforts to keep the Conference registration site current for your convenience, but do not warrant that all information will be error-free or current at all times.

Transfers

Registration fees are transferable to another individual within your company up to one week before the event commences at no charge, subject to the transferee’s agreement to these Terms and Conditions. Please contact our registration team via the contact link on the Conference website to request a badge exchange.

Cancellations

If you have registered but are no longer able to attend, the following policies apply. All cancellation requests must be submitted in writing through the contact link on the Conference website, and the applicable refund tier is determined by the date Smartsheet receives the written request:

Conference passes

  • Cancellations received on or before Oct. 4, 2026 will be refunded in full, less any non-refundable third-party processing fees.
  • Cancellations received Oct. 5, 2026 through Oct. 19, 2026 will be refunded, minus a $300 cancellation fee.
  • Cancellations made after Oct. 20, 2026 (2 weeks prior to the conference start date) will not be eligible for refund.

Optional pre-conference training fees

  • Cancellations received before Oct. 4, 2026 will be refunded in full, less any non-refundable third-party processing fees.
  • Cancellations received Oct. 5, 2026 through Oct. 19, 2026 will be refunded, minus a $200 cancellation fee.
  • Cancellations made after Oct. 20, 2026 (2 weeks prior to the conference start date) will not be eligible for refund.

No-shows and failure to attend, for any reason, are not eligible for any refund. If the Conference is cancelled by Smartsheet, your sole and exclusive remedy will be a refund of the registration fees you paid; Smartsheet will not be responsible for travel, lodging, or other costs you incur.

Photography / Video / Recording / Quotations

As a condition of attending the Conference, you grant Smartsheet the rights set forth in this section. We and those acting on our behalf may, at any time during or in connection with the Conference, take photographs, audio recordings, video, livestreams, and other recordings of you, and may record, capture, and quote any statements, comments, interviews, testimonials, questions, or other contributions made by you, and otherwise capture your name, image, likeness, voice, appearance, photograph, biographical information, and statements, in any media now known or later developed (“Conference Publicity Materials”). 

By registering for and/or attending the Conference, you irrevocably consent to, and grant Smartsheet a worldwide, royalty-free, fully paid-up, perpetual, irrevocable, non-exclusive, transferable, and sublicensable right and license to use, reproduce, record, edit, modify, adapt, create derivative works from, publish, distribute, display, perform, transmit, broadcast, and otherwise exploit the Conference Publicity Materials, in whole or in part, in any and all media and formats now known or hereafter developed, throughout the world, in perpetuity, for any purpose whatsoever, including without limitation advertising, marketing, promotional, commercial, training, editorial, and internal business purposes, in each case without any further notice to you, without any review or approval rights, and without any compensation, royalty, or payment of any kind to you.

Smartsheet will own all right, title, and interest (including all intellectual property and copyright) in and to the Conference Publicity Materials and any works derived from them, free of any claims by you or any person claiming rights through you. To the fullest extent permitted by law, you irrevocably waive, and agree not to assert, any rights of publicity or privacy, any moral rights, and any right to inspect or approve any use of the Conference Publicity Materials, and you waive any claim (including for defamation, invasion of privacy, right of publicity, or infringement) arising out of any use authorized under these Terms and Conditions. You represent that you have the authority to grant the foregoing rights and that the Conference Publicity Materials will not violate the rights of any third party. This grant survives the Conference and any termination of these Terms and Conditions. 

If you do not wish to be recorded, you must not attend the Conference. Smartsheet is under no obligation to use the Conference Publicity Materials.

Feedback / Previews

During the Conference, we may ask you to provide feedback in connection with our products or services, some of which may include our products or other technology that are in preview, beta, or pre-release form (“Previews”). Previews are provided “AS IS” and “AS AVAILABLE,” without warranties of any kind, and you use them at your own risk. Participation in providing such feedback is entirely voluntary and if you choose to do so, you grant us a worldwide, royalty-free, fully paid, irrevocable, perpetual, sublicensable, transferable, non-exclusive license to use and incorporate into our products and services any feedback or suggestions for enhancement that you provide to Smartsheet, without any obligation of compensation or attribution. You agree to keep all Previews and related non-public information confidential. We may, in our sole discretion, change or discontinue Previews at any time without notice and also choose not to release a Preview into general availability.

No Liability

Smartsheet will not accept liability for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, or data, you may sustain during the Conference, or for loss of or damage to your personal property, whether based in contract, tort, or any other theory, even if advised of the possibility of such damages. To the maximum extent permitted by law, Smartsheet’s total aggregate liability arising out of or relating to the Conference and these Terms and Conditions will not exceed the amount of registration fees you actually paid to Smartsheet. Nothing in these Terms and Conditions excludes or limits liability that cannot be excluded or limited under applicable law.

You voluntarily assume all risks associated with attending the Conference, including risks related to travel, the venue, communicable illness, and interactions with other attendees. To the fullest extent permitted by law, you release and discharge Smartsheet and its affiliates, and their respective employees, officers, directors, and agents, from any claims arising out of your attendance, except to the extent caused by Smartsheet’s gross negligence or willful misconduct.

Event Safety / Your Conduct

The safety and security of all Conference attendees is very important to us. By attending, you agree to abide by: the Smartsheet Event Code of Conduct; all rules provided by any venue operating official conference events; and all applicable fire, safety, and health regulations. If you violate any of the foregoing rules or regulations or otherwise act in an unsafe careless, disruptive, harassing, or unlawful manner at any time during the Conference: (1) Smartsheet may remove you from the Conference and/or revoke your badge and access without refund or any liability to you; and (2) you agree to defend, indemnify, and hold harmless Smartsheet and its affiliates and their respective employees, officers, directors, and agents against all claims, losses, or damages to persons or property, governmental charges or fines, and costs (including reasonable attorney’s fees) arising out of your acts or omissions or your breach of these Terms and Conditions.

These Terms and Conditions are governed by the laws of the State of Washington, without regard to its conflict-of-laws rules. Any dispute arising out of or relating to the Conference or these Terms and Conditions will be brought exclusively in the state or federal courts located in King County, Washington, and you consent to the personal jurisdiction of those courts. 

These Terms and Conditions, together with the Smartsheet Privacy Notice and Event Code of Conduct, constitute the entire agreement between you and Smartsheet regarding the Conference and supersede all prior understandings. If any provision is held unenforceable, it will be modified to the minimum extent necessary, or severed, and the remaining provisions will remain in full force and effect. Smartsheet’s failure to enforce any provision is not a waiver. You may not assign these Terms and Conditions without Smartsheet’s consent; Smartsheet may freely assign them. The provisions that by their nature should survive (including the publicity, license, ownership, release, indemnity, limitation-of-liability, and governing-law provisions) will survive the Conference.

These terms and conditions are subject to change prior to the Conference at Smartsheet’s discretion. Please check the Conference website (www.smartsheet.com/engage) for updates. Your continued registration for or attendance at the Conference following any change constitutes your acceptance of the then-current Terms and Conditions.
