The Smartsheet User Subscription Model helps customers realize more value from Smartsheet by simplifying pricing, budgeting, and administration. Elements of the model include:
- Simple seat types - Smartsheet has four seat types: Members, Provisional Members, Guests, and Viewers. These seat types enable customers to classify users as paid or free for greater control over user-related subscription fees.
- Members - These are users who require paid seats, which enable them to create and manage assets, comment, edit, or upload files.
- Provisional use - A major new benefit introduced with the User Subscription Model, Members can share assets with anyone as Admin, Editor, Commenter, or Viewer with no obligation to pay during a trial period. During this 90-day period, a user is designated as a Provisional Member and they are able to freely create, edit, comment, upload files, and utilize AI—unlocking the platform's full potential.
- Reconciliation periods & true ups - Organizations can monitor all seat types to make informed budget decisions. At the end of the period, customers can review their list of Provisional Members and decide whether to change their seat type to Viewer, or take no action and have them automatically converted to paid Members.

System Admins will gain clear, transparent visibility into Seat Types, making it easy to manage them while understanding what users can do across plans, features, and products. Internal users have email addresses matching any domain associated with the plan, while external users have email addresses that do not match the plan’s domains.
Member
- Members have full Smartsheet access per the subscription plan. They can be shared with assets at any permission level.
- A System Admin can assign the Member Seat Type at any time.
Provisional Member
- A temporary Seat Type with full access, pending review during reconciliation.
- Provisional Members have full Member access per the subscription plan. They can be shared with assets at any permission level.
- Provisional Members only include users with paid activity within the last 90 days.
Guest
- Guests can have Editor or Commenter permissions to assets.
- An external user becomes a Guest when they are shared to at least one asset with Editor or Commenter permissions.
- A System Admin can change an external user’s Seat Type from Member to Guest.
Viewers
- Viewers can only have Viewer permissions to assets.
- An internal or external user becomes a Viewer when shared to at least one asset with Viewer permissions.
- A System Admin can change an internal or external user’s Seat Type from Member to Viewer.

You always have the option to upgrade your plan to unlock additional capabilities for project, program, or portfolio management. You can also add or remove users, purchase more licenses, or cancel your subscription at any time. These actions are subject to terms at Smartsheet User Agreement.
Yes, for customers with Enterprise plans. These plans are covered by our Service Level Agreement.
